AMTrad Services is committed to safeguarding the privacy of its website visitors, service users, and business partners.

This policy aims at providing all the information prescribed by the GDPR when personal data is collected and processed.

Purposes and legal basis of processing

AMTrad Services collects, stores, and uses personal data related to prospects, clients, and colleagues for the purposes of issuing a quote, providing translation services, or complying with legal requirements. All data is stored on AMTrad Services' on-premises personal computers or backup removable media, protected by strong access credentials and encryption, or, solely as far as e-mail messages and attachments are concerned, on AMTrad Services' Web hosting provider's servers, likewise protected.

The legal basis for processing such data is to deliver the requested services and to perform any ancillary task required for the delivery of services and for compliance with national and European legislation governing businesses.

Categories of personal data

Personal data collected may include a person's name, postal address, e-mail address, telephone number, and ID or tax number.

In limited cases, material received by AMTrad Services for translation/revision or other language-related service may contain special categories of personal data as defined in Articles 9 and 10 of the GDPR. In such cases:

• If the material is directly provided to AMTrad Services by the data subject, AMTrad Services asks for their explicit consent to data processing.
• If the material is provided to AMTrad Services by an intermediary (translation agency or other entity), as a rule AMTrad Services cannot contact the data subject directly to ask for their consent, because of a non-disclosure agreement with the intermediary or general deontological norms. AMTrad Services therefore asks the intermediary for a declaration that the data subject has consented to their personal data being processed by a third-party with the purpose of delivering the required services.

In any case, such sensitive data is protected by state-of-the-art encryption technology while on AMTrad Services' computers, and is deleted 10 days after delivery of the requested services.

Storage period

Personal data of prospects requesting a quote will be retained for up to six months. Personal data involved in delivered services will be retained for ten years to comply with the current legislation.

Recipients of the personal data

Personal data collected by AMTrad Services may be communicated to:

• AMTrad Services' accountant, for financial/tax purposes
• AMTrad Services' provider of Web hosting and e-mail services
• co-workers within AMTrad Services' organisation

All these parties are bound by the same privacy rules as AMTrad Services', or are GDPR-compliant.

Data subject rights

Data subjects have a right to:

• access their data;
• ask for rectification or erasure of their data;
• restrict or forbid processing of their data;
• require that their data is provided to them in a portable format;
• lodge a complaint with a Data Protection Authority (DPA); and
• withdraw consent at any time.

These rights may be exercised by contacting AMTrad Services' data controller/processor using the controller/processor's contact details specified above.

This Privacy Policy was drawn up on May 24th 2018 and will be reviewed as and when necessary. Should any discrepancies be detected between the Italian and the English version, the latter shall prevail.
